1. Acceptance of Terms

By accessing or using MyCompanyID ("the Service"), operated by Shape.tech, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not use the Service.

These Terms apply to all users of the Service, including organisation administrators, staff members, and public verifiers.

2. Description of Service

MyCompanyID is a digital staff verification platform that allows organisations to:

  • Create and manage digital identity cards for their staff
  • Enable real-time verification of staff identity via QR codes
  • Maintain up-to-date staff information and status

The Service enables third parties to verify staff identity by scanning QR codes and viewing verified staff information.

3. Pricing and Payment

MyCompanyID is currently free to use. We reserve the right to introduce paid features or subscription plans in the future. If we do so, we will provide advance notice and any changes will not affect existing free functionality without your consent.

4. Account Registration

To use certain features of the Service, you must register for an account. You agree to:

  • Provide accurate, current, and complete information
  • Maintain and promptly update your account information
  • Keep your password secure and confidential
  • Accept responsibility for all activities under your account
  • Notify us immediately of any unauthorised access

We reserve the right to suspend or terminate accounts that violate these Terms.

5. User Responsibilities

5.1 Organisation Administrators

If you are an organisation administrator, you are responsible for:

  • Ensuring you have the right to upload and display staff information
  • Obtaining appropriate consent from staff members for their data to be processed
  • Maintaining accurate and up-to-date staff records
  • Promptly removing records of staff who leave your organisation
  • Complying with all applicable data protection laws

5.2 All Users

You agree not to:

  • Use the Service for any unlawful purpose
  • Upload false, misleading, or fraudulent information
  • Impersonate any person or organisation
  • Attempt to gain unauthorised access to the Service
  • Interfere with or disrupt the Service
  • Use automated systems to access the Service without permission
  • Reverse engineer or attempt to extract source code

6. Content and Data

6.1 Your Content

You retain ownership of any content you upload to the Service (including staff photos and information). By uploading content, you grant us a licence to use, store, and display that content as necessary to provide the Service.

6.2 Prohibited Content

You may not upload content that:

  • Is illegal, harmful, or offensive
  • Infringes intellectual property rights
  • Contains malware or harmful code
  • Violates any person's privacy rights

7. Intellectual Property

The Service, including its design, features, and content (excluding user-uploaded content), is owned by Shape.tech and protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works without our express permission.

The MyCompanyID name, logo, and branding are trademarks of Shape.tech.

8. Privacy

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use, and protect your information. By using the Service, you consent to our data practices as described in the Privacy Policy.

9. Account Deletion

You may delete your account at any time through the app settings or by contacting us. Upon deletion:

  • Your account will be permanently deactivated
  • All associated data will be deleted within 30 days
  • Staff records under your organisation will be removed
  • This action cannot be reversed

10. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that:

  • The Service will be uninterrupted or error-free
  • The Service will meet your specific requirements
  • Results from using the Service will be accurate or reliable
  • Any errors will be corrected

11. Limitation of Liability

To the maximum extent permitted by law, Shape.tech and its directors, employees, and affiliates shall not be liable for:

  • Any indirect, incidental, special, or consequential damages
  • Loss of profits, data, or business opportunities
  • Any damages arising from your use of or inability to use the Service

Our total liability for any claims arising from these Terms shall not exceed the amount you paid us (if any) in the 12 months prior to the claim.

12. Indemnification

You agree to indemnify and hold harmless Shape.tech from any claims, damages, losses, or expenses (including legal fees) arising from:

  • Your use of the Service
  • Your violation of these Terms
  • Your violation of any third-party rights
  • Content you upload to the Service

13. Modifications to Service and Terms

We reserve the right to modify, suspend, or discontinue the Service at any time. We may also update these Terms from time to time. Material changes will be communicated via the app or email. Continued use of the Service after changes constitutes acceptance of the new Terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
